Pick My VA evaluates virtual assistant agencies using a structured, transparent methodology designed to reflect what actually matters to employers making a hiring decision.

The Four Dimensions

Every agency on our rankings is scored across four dimensions, each rated on a 1 to 5 star scale.


Talent Quality How good are the virtual assistants you’ll actually work with? We evaluate screening rigor, acceptance rates, skills testing, training programs, and the overall caliber of talent an agency provides. An agency with a documented multi-stage screening process and low acceptance rate scores higher than one with open enrollment.

★☆☆☆☆ Stay Away — No screening. Anyone can join the roster.

★★☆☆☆ Poor — Basic screening only. Resume review, minimal testing.

★★★☆☆ Fair — Moderate screening with some skills testing. Inconsistent quality.

★★★★☆ Great — Strong screening process. Low acceptance rate. Trained before placement.

★★★★★ Excellent — Elite screening. Under 5% acceptance. Extensive pre-training programs.


Pricing How much does it cost, and is pricing transparent? We assess affordability relative to comparable services, the presence of hidden fees, contract flexibility, and whether pricing information is publicly available without requiring a sales call.

★★☆☆☆ Poor — Expensive with limited flexibility. Pricing unclear upfront.

★★★☆☆ Fair — Reasonable pricing with agency markup. What you’d expect to pay.

Client Support What happens after you sign up? We evaluate onboarding quality, replacement guarantees, the availability of dedicated account management, response times, and the overall level of ongoing support provided to clients.

★★☆☆☆ Poor — Basic support exists but slow. No replacement guarantee.

★★★☆☆ Fair — Decent support with some onboarding. Replacement available with conditions.

Specialization Does the agency go deep in specific industries or stay general? We assess the availability of industry-trained VAs, niche expertise, and whether the agency is purpose-built for specific roles or takes a one-size-fits-all approach.

★★☆☆☆ Poor — Mostly generalist with loose categories.

★★★☆☆ Fair — Some specialization. A few defined verticals.

★★★★★ Excellent — Deep specialist. Purpose-built for a specific industry. VAs pre-trained in relevant workflows.

The Overall Score

The overall score is the straight average of all four dimension ratings, expressed as a score out of 5.0 — the same scale used by Amazon, Google, and Yelp reviews.

For example, an agency rated Talent 5 + Pricing 3 + Support 4 + Specialization 4 = 16 ÷ 4 = 4.0 overall.

There are no hidden weights or proprietary formulas. The math is simple and fully transparent.

Our Data Sources

Our scores are informed by multiple data inputs:

Firsthand onboarding tests. We sign up for each agency’s client intake process and evaluate the experience — response time, quality of communication, professionalism, and the information provided during the sales and onboarding stages.

Public review analysis. We aggregate and analyze client reviews from Trustpilot, Clutch, G2, Google Reviews, and Facebook. We look for patterns across reviews rather than relying on individual ratings, which can be skewed.

Employee and VA feedback. We review Glassdoor ratings and employee feedback to assess how agencies treat their virtual assistants. Agencies that invest in their workforce tend to deliver better outcomes for clients.

Website and content audits. We evaluate each agency’s online presence for pricing transparency, quality of published information, professionalism, and the clarity of their service offering.

Traffic and market analysis. We use SimilarWeb and Ahrefs to analyze agency traffic patterns, geographic focus, growth trends, and referral sources. This data provides additional context on an agency’s market position and operational focus.

Update Schedule

Rankings are reviewed and updated on a quarterly basis. Each update incorporates new data from the sources listed above, including any changes to agency pricing, services, or market position. The date of the most recent update is displayed at the top of every ranking page.

Limitations

No methodology is perfect. Ours has the following known limitations:

We have not hired a full-time VA from every agency on our list. Our firsthand testing focuses on the client intake and onboarding experience. Where our direct experience with an agency is limited, we disclose it within the review.

Public reviews can be influenced by selection bias – satisfied and dissatisfied clients are more likely to leave reviews than those with neutral experiences. We account for this by looking at volume and patterns rather than individual reviews.

Our methodology is designed for the current market as of 2026 and will evolve as the industry changes. We welcome feedback on how to improve it.
